01 · The basics

What is Workplace Reporting?

Workplace Reporting is a UK company that runs a 24/7 absence reporting line and absence management software for multi-site operators. Staff call one number to report an absence. The call is answered, recorded and logged, the absence appears on a real-time dashboard and in the managers’ mobile app, and the right manager is emailed before the shift starts. Manage then counts each absence against your policy and takes every case through to the outcome.

Who is it for?

Employers with staff across several sites, especially where shifts start early and managers change from day to day. It is trusted by McDonald’s franchisees and suits any multi-site operator. Today it covers more than 10,000 employees across 60 sites, with around 300 managers using it.

What is the difference between The Absence Line and Manage?

The Absence Line takes the call and creates the record: who, why, their shift and when they expect to be back. Manage is what happens next. It counts each absence against your trigger points, alerts the manager the moment someone reaches one, and opens a case with an owner and a next step, through return to work to the outcome. Both come in one price.

02 · Price and setup

How much does it cost?

£65 a site, a month. Manage is included and there are no per-call charges.

How long does it take to get started?

Most groups are live in 10 days or less. Send us your absence policy and we build it in: your trigger points, the steps a case moves through, and who is told what. Then we set up your stores, managers, backup managers and store inboxes.

Do we need to install anything?

No. Managers use the web dashboard and the mobile app for iOS and Android. Staff only need the phone number.

03 · The line

When is the line answered?

24 hours a day, every day of the year. No voicemail and no missed calls, however early the shift starts.

Who is told about an absence?

When the call ends, the named manager gets the full detail and a link to the recording, the store inbox gets a short overview, and the employee gets a confirmation that they reported it. If the manager is on leave, the backup manager gets the detail instead.

Does the line use AI?

Yes. The line uses AI to take the call, and every caller hears that at the start. It records, summarises and flags. Your managers make every employment decision.

04 · Data and security

Where is our data held?

Absence records and transcripts are stored in the UK and EEA. Call audio is held in the EU and deleted automatically after 5 days. Some processing for the voice line and notifications is done by specialist providers in the US, covered by Standard Contractual Clauses and the UK IDTA. The full detail is in the Trust Centre.

Is our data used to train AI?

No. Call recordings, transcripts and absence records are never used to train AI models.

How is it secured?

Cyber Essentials certified, independently penetration tested every year, and registered with the ICO (00014496640). Personal data is encrypted at rest and in transit.

What happens to our data if we leave?

Your records are returned to you or deleted, and we confirm it in writing.

05 · Policy and support

Do you give HR or legal advice?

No. We give you the record. Your policy sets the trigger points and the steps, and your managers make the decisions. A complete, timestamped record is what you need when a review, a hearing or a claim comes round.

Can we change our trigger points later?

Yes. Your rules stay yours. Change what the line records and how Manage applies your policy as you grow, or ask us to do it for you.
